How is a sample run-of-show built?

A flow with two overnight stays starts on the first day with arrival and a Ringstrasse tour, then an opera or concert in the evening. The second day is Schönbrunn in the morning and the Belvedere or the Hofburg in the afternoon, with a gala dinner in the evening. The third day is free time in the morning and the return.

How are transport and logistics planned?

The flight from Istanbul takes roughly two and a half hours. The airport is 20 minutes from the centre by train. Getting around the city is mostly by metro and tram; group tickets are obtained within scope. On programmes requiring a visa the application calendar is built backwards from the programme date; the document list goes to participants in one message, and passport validity checks and appointment scheduling are tracked by the operations team. The visa outcome is individual and at the consulate's discretion.

Which programme formats work here?

Incentive and reward programmes with two or three overnight stays are the most common format. Field learning trips and partner visits can be added to the same programme; where an institutional visit is requested, the appointment process is planned separately.

When should it be planned?

April-June and September-October are the most suitable periods. The Christmas market period in December is visually strong but price and crowds rise. Summer runs without difficulty; the palace gardens are at their best then.

What should be watched when planning?

For international programmes we recommend 12-16 weeks of planning; most of that is for the visa calendar. The participant list must be confirmed at least 8 weeks ahead, otherwise the visa process will not be ready in time. Flight allocation, group ticket rules and cancellation conditions are shown as separate line items in the quote.
