When dealers arrive in their own cars, a parking and welcome plan is needed; with group transport, assembly points are set per province.

End-of-season motivation day

A full-day programme for store teams at the close of the peak season. City formats such as a Bosphorus boat, a sunset sail or a theatre evening are timed to depart in the afternoon according to store closing hours. In stores that run shifts, the programme is split into two groups and repeated on two separate days.

Year-end programme

The programme in which the year's target results are shared, awards are given and the new period's targets are announced for the first time. Because December is the busiest sales period in retail, the year-end programme usually shifts to the second half of January, which widens the choice of venues.

How does the season calendar set the date?

In retail and sales teams the date settles into the gaps of the season calendar. The period from the second half of November to New Year, back-to-school weeks, the weeks before public holidays and the start of sale seasons are blocked in most retail companies. In practice the most productive windows are the second half of January to February, April-May and the first half of September. The second is welcome and registration: name badges, room keys and the programme booklet are handed out at a single point, with a staggered arrival plan. The third is the stage and ceremony flow: because the number of award recipients sets the length of the ceremony, the run-of-show is written to the minute and rehearsed. In residential programmes room allocation follows the dealer and regional structure; people from the same region are kept on the same floor. A spare vehicle and a medical point are standard above 200 people.

  • 25-80 people: regional sales team programme or a limited incentive trip. One vehicle or one flight block, one coordinator, the award moment within dinner.
  • 80-150 people: multi-region motivation day or a mid-sized dealer meeting. Registration desk, two or three vehicles, separate presentation and social areas.
  • 150-400 people: national dealer network or all-store-managers gathering. Per-province transport plan, staggered arrival, stage and ceremony rehearsal, spare vehicle, medical point and a marshalling team.
