Overview
A reception format for organisations that want to mark 29 October without leaving the city, at a single venue and with a controlled flow. It is the 29 October option with the lowest travel burden and the highest attendance.
The structure of the programme
The programme opens with welcome and registration, continues with a short protocol section and finishes with catering service. The protocol section usually has three parts: the management address, a short Republic-themed narrative or screening, and any internal thank-you or award announcements. We recommend keeping the total protocol under 25 minutes; our experience is that longer flows noticeably reduce participant attention.
Venue and capacity
- 50-120 people: a single hall in a standing (canapé) format. Stage and presentation screen at a single point.
- 120-300 people: a registration desk, a marshalling team and a separate seating area. The sound system is set up at multiple points.
- 300+ people: a staggered entry plan, a floor map and an extended service crew.
We can arrange the venue, or the programme can be set up at your organisation's own headquarters, foyer or terrace. The second option lowers the cost noticeably.
Scope
The quote shows the venue, the catering and drinks service, the technical setup (stage, sound, lighting, projection), the décor and signage, the registration desk and the event coordination as separate lines. Because catering and technical crew capacity fills quickly in the holiday week, the recommended minimum planning time is 6 weeks.

The standard flow is 2.5-3 hours: welcome and registration, a short protocol section and catering service. Held after work, the 18.30-21.30 window produces the highest attendance.
Venue options are available from 60 to 500 people. Group size determines whether the venue is set up standing or seated: above 150, a standing canapé layout works better; below that, a seated layout flows more easily.
Three or four suitable venues are proposed according to your team size, office location and budget band; a site visit is arranged and the decision is yours. Because we work with partner venues, the date can be blocked at the quote stage.
Venues around 29 October start filling from mid-September. 6-8 weeks gives a comfortable planning window. On later requests the choice of venue narrows, but the programme can still be built.
