An incentive trip is a reward programme earned by the people who hit a target announced in advance. What separates it from an ordinary corporate trip is not the destination but the mechanism: participation is not open to everyone, the qualifying criterion is published in writing at the start of the period, and the trip itself is the visible prize in front of the sales team throughout that period.
The reward mechanism works where output can be counted and attributed to an individual: sales revenue, new dealer acquisition, collection performance, cross-sell rate. In structures where output is spread across a team and cannot be written to one person, incentive backfires — there, a reward and recognition trip that the whole team joins is the correct instrument. Changing the criterion mid-period, announcing winners late and shrinking the prize for budget reasons are the three mistakes that end a programme's credibility in one move.
The effect of an incentive comes from the prize being something the person could not easily arrange on their own. That is why programmes under this heading are weighted towards international routes: London, Amsterdam, Paris, Milan, Prague, Vienna, Singapore and multi-city Balkan itineraries. Domestically, iconic and tellable destinations such as Cappadocia are preferred — the story a winner tells on their return is what builds motivation for the next period.
For international incentive programmes we recommend 12-16 weeks of planning. Most of that time is the visa calendar: group visa applications, document collection, appointment scheduling and passport validity checks are planned backwards from the programme date. Winners need to be confirmed at least 8 weeks before the period ends; otherwise the visa process will not make the date. That visa outcomes are individual and at the consulate's discretion is stated up front in the criteria announcement.
Quotes are presented with transport, accommodation, catering, activity and operations separated into line items, which speeds up approval on the procurement and finance side. While the number of winners is still unknown, pricing is built on tiered scenarios (10 / 20 / 35 people). The tax treatment of a benefit provided to an employee is a matter to settle with your own financial adviser; the programme structure can be adapted to that decision.
