A year-end programme is not a celebration, it is a closing meeting
For most organisations the New Year event is the only time the whole company gathers. Those few hours with the entire team in one room are when the year's results are shared, awards are given and the objectives for the new period are announced for the first time. Building the programme around food and music alone wastes that opportunity. The right structure places a short, clear management message inside a team event.
The programmes on this page are selected to meet three needs at once: a session in which the year's closing message can be delivered, a social section where the team comes together, and logistics that do not make attending difficult.
New Year organisation format options
City gala and award night
An evening programme at a venue close to the office. The lowest transport burden and the highest attendance rate of any format. It requires a stage, sound system, an award ceremony run-of-show and a presentation screen. Above 80 guests we recommend a registration desk and a seating plan.
Out-of-town year-end camp
One- or two-night programmes on the Sapanca, Maşukiye, Abant and Bolu line. A review and strategy session during the day, a social programme in the evening. This is the format that strengthens in-team relationships the most; against that, accommodation capacity is the line item that fills earliest in December.
Winter and ski-focused programmes
Programmes on the Uludağ line, suited to teams wanting to combine the year-end motivation budget with sport and outdoor activity. In mixed-ability groups, a parallel activity has to be planned for participants who do not ski.
Bosphorus boat programme and fine dining
Preferred by organisations wanting a more select frame for executive teams, dealer networks and client-facing staff. Numbers are limited by the boat's capacity; early booking is essential.
Hybrid gathering
For teams in different cities or working remotely, a format combining a physical programme with a live-streamed session. A separate interaction flow is built so that remote participants do not remain mere viewers.
What changes with headcount?
- 20-50 people: one venue, one flow. The award ceremony and dinner can run in the same room. One coordinator is enough.
- 50-150 people: welcome and registration need their own area. Transport requires multiple vehicles and an hour-by-hour movement plan.
- 150-500 people: staggered entry plan, a marshalling team, a health-and-safety protocol and a backup venue scenario. The run-of-show is written to the minute and rehearsed.
Why does the December calendar close early?
Demand for New Year events compresses into the last two weeks of December. In the same period the supply of venues, catering, sound and lighting equipment and transport does not change. As a result, programmes not committed by the end of October face both fewer options and rising prices. The threshold we see in practice is this: organisations that start planning in October usually get their preferred venue and date; those that move in early December have to shift to an alternative date or an alternative venue.
For that reason the recommended planning time for the programmes on this page is at least 10 weeks.
Scope and quote
Our year-end quotes show transport, venue, food and beverage scope, stage and technical setup, award ceremony run-of-show management and field coordination on separate lines. That way you decide which line item to trim. The whole programme is closed with a single contract and a single invoice.
Stating the date, estimated headcount and the centre of gravity of the programme (is it an award ceremony, a team event or a strategy session?) improves the accuracy of the first quote.
